What a good sales scan looks at (and why symptoms mislead)

When sales results slip, the first explanations are usually about effort. People are not calling enough. The team needs more leads. The new rep is slow. Sometimes that is true. More often it is a symptom of something further upstream.

A good sales scan is a structured way to look underneath. It does not start with a theory. It starts with questions, and with the evidence that answers them.

Five places to look

1. Who you sell to

Is the ideal customer written down, and does the team use it? Do your best customers share something you did not design? A weak aim shows up as long cycles, heavy discounting and a pipeline full of polite interest.

2. How you reach them

Which signals do you use to choose accounts, and are they the same ones everyone else watches? Do messages speak to a situation, or to a job title? Is outreach measured on conversations and meetings, or on activity?

3. How deals move

Do stages describe what the buyer has done, or how the rep feels? Where do deals stall, and do you know why? Is qualification consistent, or does it depend on who is selling?

4. How people develop

Does each person have a current skill focus? Is coaching separate from deal inspection? How are new starters brought to full pace, and how do you know it is working?

5. How the numbers are kept

Do people trust the CRM? Do you share definitions of a meeting, an opportunity and pipeline? Is the forecast reviewed for what it got right and wrong?

Symptoms and what is often underneath

  • "We need more leads." Sometimes. Often the leads that exist are poorly aimed, or are not followed up with a real next step.
  • "Reps are not hitting quota." Look at the plan, the ramp, the quality of the pipeline and the coaching before you look at the individual.
  • "Deals keep slipping." Qualification and buyer evidence are usually thinner than the forecast suggests.
  • "Outbound is not working." Check aim, message and handoff before you add volume.
Missing targets is a symptom. A scan looks for the cause.

What it should produce

A good scan does not end with a list of generic best practices. It ends with a short, prioritised set of findings, tied to evidence, and a plan for the next ninety days. Something you can act on without needing the people who wrote it.
